JOB DESCRIPTION
Employment status and working hours
Fixed term for 12 months, full time.
Full time hours at the University are 35 per week with the standard working pattern Monday to Friday from 09:00 to 17:00. In this role your weekly working pattern will be Monday to Thursday 09:30 to 19:15. There may also be occasional evening/weekend support during events.
Your line manager will be Lily Wilkinson, Interim Head of Operations.
Place of work flexibility
Your full working week will be spent at The London School of Architecture (The LSA) office at 4 Beechwood Road, London, E8 3DY.
High level summary of job role
The Studio Coordinator is a vital part of the Operations team at the London School of Architecture (The LSA), responsible for the daily management and upkeep of the school’s studio and facilities. This role combines hands-on coordination of the physical space with technical and logistical support for teaching, events, and day-to-day operations.
Acting as the first point of contact for all studio, building, and facilities-related issues, you will ensure the space is professional, functional and welcoming for students, staff, and visitors. This includes overseeing Audio/Video (AV) equipment, liaising with external suppliers, organising furniture and room layouts, responding to maintenance needs, and ensuring health and safety protocols - including fire alarm drills - are implemented effectively.
The LSA offers an innovative model of architectural education, combining studio-based learning with embedded professional experience. We are a small school with a big mission, currently offering a single academic programme: a two-year postgraduate MArch in Designing Architecture. The Programme is prescribed by the Architects Registrations Board and validated by the Royal Institute of British Architects.
In May 2025, The LSA merged with University of the Built Environment (the University). The University is a leading specialist university for the built environment and The LSA will retain its name and distinct identity. Specific job role accountabilities and responsibilities
Studio and facilities management
- Oversee the day-to-day running of The LSA studio, ensuring it is clean, safe, secure, and fit for purpose at all times.
- Control building access via our e-reception, mail delivery, access card and CCTV systems and assist with or escalate issues. This means you will need to become familiar with who is who in terms of staff and students, to ensure a secure building.
- Manage the access system, print and issue cards, and input/extract data and reports from visitor/access control systems.
- Act as a key holder; be responsible for securing the premises daily and overseeing the relevant security procedures. Be responsible for setting up teaching and event* spaces, including organising room bookings (including hospitality) and moving and arranging the required equipment when required. *Events include public talks and exhibitions.
- Carry out basic repairs or maintenance where possible, and where external help is needed, coordinate with external contractors.
- Maintain an up-to-date log of repairs, faults, and facilities issues, escalating to the Interim Head of Operations where necessary.
- Conduct regular studio checks to ensure a safe and organised environment.
- Manage consumables and supplies (e.g. printing materials, stationery, cleaning stock) including undertaking monthly stock takes and replenishment.
- Raise purchase orders and carry out additional administrative duties as required.
- Coordinate all external vendors for services such as cleaning, catering, repairs, waste collection, and deliveries, in accordance with University procedures.
- Lead on the planning and execution of statutory tests including fire drills, ensuring staff and students are well informed of the relevant processes and procedures.
- Act as the main point of contact for external contractors undertaking servicing and works on site.
- Responsible for managing and undertaking risk assessments for activities and events carried out at The LSA office.
- Maintain noticeboards and signage throughout the building, ensuring the University remains compliant with health and safety requirements.
- Act as a First Aider and Fire Warden and respond to incidents when needed.
Teaching and event support
- Provide technical and logistical support during teaching and events, including hybrid sessions and livestreams.
- Support the high-quality delivery of external and internal events, ensuring smooth set-up, sound, video, and space management.
- Support programme delivery through proactive communication with academic staff and coordination of bookings via the shared calendar.
Technology and digital infrastructure
- Provide frontline IT support for students and staff including connecting to the network, password and / 2FA resets, printers, accessing email, VLE, cloud storage and other services provided.
- Work closely with the Technology team to provide feedback on local technology delivery to ensure alignment and visibility of changes across all sites.
- Maintain and manage all AV, media, and IT equipment, including screens, speakers, mics, hybrid conferencing tools, and classroom technology in line with relevant policies and procedures.
- Manage and troubleshoot local issues with printers and plotters; ensure regular maintenance and restocking of materials escalating to the Technology team when necessary.
- Provide basic training to staff and students on equipment use and adherence to policies such as security, change management, incident reporting etc.
Student and faculty support
- Assist with student onboarding logistics, including issuing access cards, coordinating IT setup, and managing printing access.
- Maintain accurate records of all lectures and events in the school’s academic calendar.
- Collaborate with the Programme Manager, Registrar, and Academic team to ensure effective delivery of the academic timetable.

Qualifications and training
GCSE Maths and English Language Grade C or 4 or above (E, A, I).
Relevant qualification or training in First Aid and/or Fire Safety, or willingness to under this (E, A, I).
Further education level qualifications (D, A, I).
Institution of Occupational Safety and Health qualification (D, A, I).
Previous experience
Experience in a similar role (E, A, I).
Experience within the education sector / built environment / higher education (D, A, I).
Experience with hybrid AV systems and/or large format printing (D, A, I).
Skills, knowledge, and aptitudes
Knowledge of health and safety procedures (including fire safety), however further training can be provided (E, A, I).
Digital skills confidence: We use MS Office which includes Teams, Outlook, Word, Excel, and PowerPoint and several other systems/technology (E, A, I).
Hands-on and proactive, with a practical, solutions-oriented mindset (E, A, I).
Highly organised with strong time management and attention to detail (E, A, I).
Ability to manage competing priorities efficiently (E, A, I).
Adept at physical and practical tasks, such as preparing rooms and handling equipment (E, A, I).

PAY AND BENEFITS
Salary: Salary range £28,000 to £32,000 per annum.
Holiday: 26 days paid holiday (rising to 28 with service) plus paid bank/public holidays plus up to five paid closure days (typically between Christmas and New Year); all per holiday year Full Time Equivalent. Our holiday year runs from 1 August to 31 July. We also have a holiday buy and sell scheme in place. Sometimes the University does not need to close for five days per year and any balance (for example one day), can be used as a paid Wellbeing Day to take time out for your own physical or mental health.
